NewSkool's Expense Reporting Transformation

Pain points and challenges
NewSkool started as a small company and has grown significantly over the years. Initially, all expense reports were kept in Excel and manually entered into the accounting software.
The need for an expense reporting solution arose during the exploration of a new accounting software and the desire for more automation when NewSkool had over 95 employees.
Additionally, NewSkool works with young people, and a digital expense reporting solution aligns with the company's image. Most employees are also accustomed to using their smartphones extensively.
Why Mobilexpense
The Exact Online app store offers several expense reporting solutions that can easily be integrated into the accounting software. The choice for NewSkool was between Xpenditure and Mobilexpense.
The ultimate decision to choose Mobilexpense was based on two major differences. The first was the ability to have more control over what is being claimed and the possibility to add additional information to the expense reports. The second difference was receiving the same level of attention as larger clients.
Expense management requirements
- Customisable to fit NewSkool's situation (with the future possibility of creating a white-label app)
- The expense reporting program should have an app
- It should be integrable with the ERP software Exact Online
Mobilexpense tool implementation
The implementation went very quickly. Mobilexpense assisted with the initial setup of the program and the configuration of workflows.
By importing an Excel list, all employees were added to the system with a press of a button. Everyone quickly understood how to use Mobilexpense, and there were hardly any questions.
Impact
The initial results of using Mobilexpense mainly involve improved workflow. Expense reports are now paid out faster, and at every step of the process, it is clear what the status is. The situation no longer arises where people must wait for each other before moving to the next step in the approval process.
