Real-time spend intelligence, built into Declaree
What is Pulse?
Pulse is a new module in Declaree, built exclusively for admins and finance controllers. It brings spend intelligence and workflow health into a single real-time dashboard: directly inside your existing Declaree account. No new tool, separate login or data exports into a spreadsheet. Just open Declaree and everything you need to understand your company's expense process is already there.
Pulse is read-only, which means your expense data stays exactly as it is. Pulse just helps you understand it and act on it, before month-end forces your hand.

Spend tab: know where the money is going
The Spend tab gives finance admins a real-time breakdown of company spend, organised the way finance teams actually think about it.
A stacked bar chart shows spend over time, split between committed spend (expenses that have reached final approval, checked, or exported status) and in-progress spend (everything not yet finalised). A comparison line overlays the chart so you can immediately see how current spending tracks against the previous period or the same period last year.
Three KPI cards sit above the chart and answer the three questions every finance manager asks at the start of every month:

Spend so far: the total committed spend for the selected period, with a delta showing how it compares to the same number of elapsed days in the comparison period.

In progress: the total amount of expenses not yet final approved, including expenses in open or submitted reports and expenses not yet attached to any report.

Projected month-end: a forward-looking estimate of total spend for the full period. It combines committed spend, in-progress spend, and an estimate of expenses yet to be created, based on your average daily spend from the last 30 days multiplied by the remaining days in the period.
Below the KPIs, leaderboards surface the top five spenders by employee, the top five categories, and the top five individual expenses: each expandable if you want to dig deeper. A separate pie chart breaks down spend by expense type: receipted expenses, mileage, daily allowances, compensations, and advances.
You can compare any period: This Month, This Quarter, Last 6 Months, or This Year, against the previous period or the same period last year. The period selector applies across both tabs, so your Spend and Workflow data are always in sync.
2. Workflow tab: see exactly where the process is stuck
The Workflow tab is a live diagnostic view of your expense pipeline. It answers the question finance teams ask most: not just what was spent, but why it's taking so long to get there.
At the top, the In-progress hero metric shows the total amount of money currently sitting idle in the pipeline, regardless of period. It's split into three stages:

Not in a report: expenses created but not yet attached to any report. You can remind employees to add them directly from this view.

Ready to submit: expenses in a report that has been created but not yet submitted. You can remind employees to submit directly from this view.

Pending approval: expenses in a submitted report waiting for final approval. You can remind approvers directly from this view.
Each stage shows the total amount, the number of items, and critically, the age of the oldest item. A live indicator confirms these figures update in real time, the moment anything changes.
Below the live section, period-bound metrics give you a broader picture of process health: expenses created, reports created, reports approved, average time from expense creation to submission, and average time from submission to final approval. An out-of-policy table surfaces any expenses that triggered your organisation's business rules: flagged as notice, warning, or prohibited, so nothing slips through unnoticed.
Act on it without leaving Pulse
Spotting a bottleneck is only useful if you can do something about it.
Pulse includes a manual reminder feature that lets finance managers send targeted nudges to employees and approvers directly from the dashboard, via email and push notification in seconds.
Here's how it works: choose the stage where spend is stalling, select the individuals you want to remind (or select all), and click remind. Pulse uses existing Declaree notification templates, so reminders feel consistent and professional, not like a personal call-out.
How to access Pulse
Pulse is live now and available directly inside your Declaree account.
It is an admin-only feature, scoped to your organisation. All data is displayed in your organisation's currency and updates in real time.
