Recruitment privacy statement  

As a personal data operator, MobileXpense is committed to protecting and respecting your privacy. This Privacy Statement sets out the basis on which MobileXpense ensures the confidentiality of the personal data that it is offered voluntarily by you when submitting your documents (resume and other supporting documents) for enrolling in the recruitment process to fill a vacancy or an internship program.

All data and documents you submit to us will be used exclusively for processing your application, in accordance with the provisions of Regulation no. 679 din April 27, 2016 on the protection of individuals regarding the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation – GDPR) and applicable national law.

Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

Information we collect from you

We collect and process some or all of the following types of information from you.

We process personal details such as name and surname, email address, home and residence address, phone number, picture, date of birth, gender, nationality, card identity, civil status, family situation, studies, qualifications, information relating to your employment history, skills and experience, curriculum vitae, letter of motivation, intent and supporting documents, statement on own responsibility, data results from psychometric tests, medical and/or psychological assessment, as appropriate.

We also process the information that you provide when you apply for a role. This includes information provided through the online job site, via email, in person at interviews and/or by any other method.

If you contact us, we may keep a record of that correspondence.

Lawful basis for processing

We rely on legitimate interest as the lawful basis on which we collect and use your personal data. Our legitimate interests are the recruitment of staff for our business.

Purposes of processing

We use information held about you in the following ways:

  • to consider your application in respect of a role for which you have applied;
  • to consider your application in respect of other similar roles;
  • to communicate with you in respect of the recruitment process;
  • to find appropriate candidates to fill our job openings.

The information is used to take actions, at your request, before the conclusion of the labour contract and based on your consent, to process personal data for one or more purposes (Article 6 (1) (a) and (b) of GDPR).

Who has access to your data

Access to your data is restricted to those who have a genuine business need to know it, namely, MobileXpense or subcontracted recruitment agencies employees involved in the recruitment process. Your information will be processed only in an authorized manner and are subject to a duty of confidentiality.


How we secure your data

We take appropriate measures to ensure that all personal data is kept secure including measures to prevent personal data from being accidentally lost, used or accessed in an unauthorized way. We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Secure transmission through specific job posting platforms is ensured by specific cryptographic protocols. Unfortunately, the transmission of information via email is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted through this channel. Therefore, this type of transmission remains at your own risk.

Where we store your personal data

The data that we collect from you are stored within our information systems at MobileXpense entities.

How long we keep your personal data

Your data is kept either until our open role is filled or in our database for future roles for a duration of 1 year. Your personal information will be deleted afterwards or upon specific written request to HR email.

Your rights

Under the General Data Protection Regulation, you have the rights to:

  • access to your personal data (art 15 of GDPR);
  • require us to correct any mistakes in your information which we hold (art 16 of GDPR);
  • require the erasure of your personal data (art 17 of GDPR);
  • restrict the processing of your data (art 18 of GDPR).
